Appiah AI
Privacy
How Appiah AI handles personal information.
This privacy policy explains what information we collect, why we use it, how long we keep it, and the rights available to website visitors, clients, candidates, and remote internship applicants.
Who we are
Appiah AI is an AI systems practice founded in 2026. Our contact details are 114 Grove Road, Romford, Essex, RM6 4UH, United Kingdom; james@appiah.ai; +44 7415 038022. For privacy questions, contact james@appiah.ai.
What information we collect
We may collect your name, work email, phone number, organisation, role, enquiry details, project requirements, candidate CV or portfolio links, interview notes, website usage signals, consent records, and technical data such as IP address, browser, device, pages visited, and timestamps.
How we use personal information
We use personal information to respond to enquiries, evaluate potential client work, manage supplier or candidate relationships, operate and secure the website, prepare internal reporting, improve our services, comply with legal obligations, and keep appropriate business records.
Lawful bases
Depending on the context, we rely on legitimate interests, steps taken before entering a contract, performance of a contract, consent, and legal obligation. For recruitment and internships, we process candidate data to assess suitability, communicate about roles, run interviews, and complete onboarding where applicable.
Candidate and intern data
For remote internships, we may process application materials, education or experience history, availability, interview feedback, task submissions, references where provided, right-to-work or eligibility details where legally required, and onboarding records. We do not ask candidates to pay fees as part of recruitment.
Cookies and analytics
The website may use essential cookies or similar technologies for security, preferences, admin sessions, and basic usage measurement. Where optional analytics or marketing cookies are introduced, we will provide appropriate notice and controls.
Sharing information
We do not sell personal information. We may share limited information with trusted service providers who help us host, secure, operate, analyse, or communicate through the website; professional advisers; authorities where required by law; or project partners when necessary for a specific engagement.
International transfers
Some technology providers may process information outside the UK. Where this happens, we use appropriate safeguards, such as contractual protections or provider transfer mechanisms, and limit the data shared to what is necessary.
Retention
We keep enquiry and client records only as long as needed for the purpose collected, business records, legal requirements, and dispute prevention. Candidate information is normally retained for up to 12 months after the recruitment process unless a longer period is required or you ask us to keep it for future opportunities.
Security
We use reasonable organisational and technical measures such as access controls, least-privilege permissions, secure provider accounts, encrypted transport, monitoring, and role-based handling of candidate or client information. No website or email system can be guaranteed completely secure.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict, object to processing, request portability, and withdraw consent. You can make a request by emailing james@appiah.ai. We may need to verify your identity before responding.
Complaints
If you are unhappy with how we handle your data, please contact us first so we can investigate. You may also complain to the UK Information Commissioner's Office at ico.org.uk.
Changes to this policy
We may update this privacy policy as the website, services, recruitment processes, or legal requirements change. The latest version will be published on this page.
